Privacy Policy

Your data and how we protect and use it

The FDA is committed to safeguarding and handling your membership records with high standards of information security. We use IT industry standards safeguards such as firewalls and data encryption, we enforce physical access controls to our buildings and files, and we authorise access to personal information only for those employees who require it in order to ensure you are fully and effectively supported by your union.

The policy reflects the FDA's duties under the UK's 1998 Data Protection Act to use information fairly, keep it secure, make sure it is accurate and keep it up to date. This policy therefore applies to our membership database.

The FDA collects and maintains personal information in order to carry out its functions as a trade union, provide membership services and comply with certain statutory obligations. All personal information is treated with the utmost confidentiality and with appropriate levels of security. By joining the FDA, you agree to our processing your personal information, including sensitive personal information, such as trade union membership, in order to:

  • facilitate communication between members;
  • ballot members;
  • facilitate the internal democracy of the FDA;
  • facilitate representation and negotiation;
  • facilitate collection of subscriptions;
  • maintain records as to the eligibility of members and their dependents to enjoy benefits under the rules of the union or as offered by service providers from time to time;
  • analyse for the purposes of targeted FDA mailing and the development of FDA activities;
  • allow statistical profiling, including that relating to trade union membership, equality and diversity, salary, grade, employer and geographical location where the union considers that appropriate.

Most information (updated as appropriate) is kept throughout membership and, to the extent necessary, for such reasonable period after membership as may be necessary to enable the member to access any post-membership benefits.

In order to carry out some of the above it will be necessary for the FDA to disclose information. Some information will be made available to FDA employees and lay representatives in branches. It will also be released to agents, contractors and other service providers BUT ONLY for the purpose of such agents, contractors or other service providers using the information on behalf of the FDA. Where, occasionally, the union uses the services of such organisations, they are contractually obliged to process personal data in a secure and confidential manner under strict instructions. Such organisations include those who provide approved legal, financial and membership services or who distribute FDA publications.

Members have the right to object to and stop direct marketing in any form by organisations contacting them on behalf of the FDA. If they wish to exercise their right to object and stop such direct marketing then they should write to the Membership Services requesting that such mailings be stopped or, alternatively, write to the organisation in question direct. However, members should understand that exercising this right will undoubtedly disrupt the full range of services the union is able to provide.

You have the right to ask for a copy of the information the union holds on you if held within a filing system as defined within the Data Protection Act (for which there is a small charge) and to request that any inaccuracies be corrected by contacting:

Password security

The security of your FDA membership online account relies on your protection of your FDA password. You may not share your FDA password with anyone. FDA representatives will never ask you for your password, so any email or other communication requesting your password should be treated as unauthorised and suspicious and forwarded to membership@fda.org.uk. If you do share your FDA password with a third party for any reason, including because the third party has promised to provide you additional services, the third party will have access to your account and your personal information, and you may be responsible for actions taken using your password. If you believe someone else has obtained access to your password, please change it immediately by logging in to your account and changing your login settings, and also contact us right away.
